CATALOG360 ADMIN AND SETTINGS

New access method

The catalog360 “Admin Site” option has been moved from the user profile menu.

To access the Admin Site please click Profile > Settings and then click “Open Legacy Admin” at the bottom of the menu.

catalog360 Settings

Users can now make use of the new Settings page which provides an integrated experience for managing catalog360. To support the deprecation process of the Legacy Admin site, the Settings page now features a version of the Legacy Admin site embedded with a similar look and feel to the Portal. Further enhancements to the functionality of Settings will be provided in future releases.

The Settings page provide a search feature to enable users to find a given setting quickly, and tracks recently used settings.

Tasks

To enable better integration with client systems, the “End Hire Collection” Task has been re-engineered so that a Task can be created for multiple Assets. The End Hire Collection task delivers the same workflow as previously, but there is now an additional “Assets” grid at the bottom of the page showing the Assets and quantities affected.

When responding to an End Hire Collection task a supplier is now able to confirm for a given Asset the quantity that was collected.

 

CATALOG360 PORTAL

Messages Icon (next to top-right Shopping Cart icon)

The message inbox bell icon has been removed. This showed messages sent to the user, but has been removed due to lack of use. This feature will be replaced by a much richer Dashboard-based messaging part in a future release.

Profile Menu

The Admin Site link has been removed.

Home Page

For all new catalog360 Portals the Home Page now features the Dashboard functionality instead of the category grid.

Existing production portals are not affected and will continue to show the category grid. If you would like to switch to use the Dashboard view on the home page for a production portal, please contact us at support@catalog360.com with the account name of the portal.

 

Draft Request Page

The Draft Request page now displays the VAT amount and percentage for websites were amounts are visible to Requestors.

The Draft Request page now enables cost account code selection using a Cost-Grid or “Chart of Accounts”.

Please that if “Cost Accounting” is enabled for a catalog360 website, it will not be possible to submit a Request without all lines having an assigned Cost Account code.

Requests

Where Cost Account codes have been assigned to a Request line, these will be shown in the Request page.

The Activity grid will show the tracking status next to each Email.

Sourcing Events

Where Cost Account codes have been assigned to a Request line, these will be shown in the Sourcing Event page.

Orders

The Orders grid will now display the Supplier’s confirmed order number where this is provided. It will appear in a label next to the Supplier’s name.

 

Where Cost Account codes have been assigned to a Request line, these will be shown in the Order detail page.

The Activity grid will show the tracking status next to each Email as follows:

Sent – the email has been sent to the recipient

Deferred – the recipient’s email server notified of a delay in delivering the email

Bounced – the recipient’s email server could not deliver the message, the reason is usually the email account does not

exist because the email address is invalid. In this case an Error alert will be added to the Order document

Read – the email was read by the recipient inside their email program

Read + Link Opened – the email was read by the recipient inside their email program and a link in the email was clicked

Soft Bounced – the email was temporarily rejected by the recipient’s email server. Typical causes: mailbox is full, recipient email server is down or offline, email message is too large. In this case a Warning alert will be added to the Order document

Spam – the email was rejected as Spam by the recipient’s email server

Rejected – the email was rejected by the recipient’s email server

Blacklisted – the email sender was placed on a blacklist by the recipient’s email server

Email Location & Device Details

Within the Activity grid email tracking also reports an approximate location and the device’s operating system and software used to open the email. A tooltip on the location provides the recipient’s IP address. Note that the location information is provided as-is, we cannot guarantee the accuracy of it and is for guidance only. In a future release, we anticipate providing a Settings option to enable the IP addresses of known locations to be labelled with friendly names, and a setting to turn off the display of location and/or device details.

Order Shipments

Where Cost Account codes have been assigned to a Request line, these will be shown in the Shipment page.

Assets

To enable better integration with client systems, the “End Hire Collection” Task has been re-engineered so that a Task can be created for multiple Assets. To differentiate the new process from the existing single-Asset tasks a new task action “Request Collection” has been added to the Asset list and detail pages

Posts

The new Post page displays the content of a Post. The new Posts feature available in Settings enables the management of news posts which can then be displayed to the user using a Report Query+Template inside a Dashboard part. The post page URL is /pages/post-content?q={postid}. For an example of how Posts work please contact support@catalog360.com.

Document Exchange

The new Document Exchange is available via the Settings menu. When a document (e.g. PO) is sent electronically to a trading partner it will appear in the Outbox and provides a full transaction status and report during the exchange workflow. Documents which fail can be re-sent.

PEPPOL Support has been added for Outbound Purchase Orders and Inbound Purchase Invoices. Further PEPPOL documents types will be supported over the coming months but are not dependent on a catalog360 Portal Release. A separate catalog360 PEPPOL Access Point Release Note will be made available to interested customers.

Links to the entries in the Document Exchange will appear in the Activity Grid for the documents for easy tracking.

Reports

Support for Excel native XLS file and a new XLSX format has been added to Reports and Scheduled Reports.

Suppliers

The Supplier Add/Amend pages have been adjusted to prevent the entry of duplicate supplier codes.

Manufacturer

The Manufacturer list page has been adjusted to include the Manufacturer code as an additional display column.

The Manufacturer Add/Amend pages have been adjusted to prevent the entry of duplicate supplier codes.

Contracts

The Contract page update process now triggers an update of the Elastic Search for all products associated with that Contract.

 

Settings > Advanced Settings

For clients wishing to use the “Cost Accounting” feature for spend reporting an option “Enable Cost Account Assignments” has been added. This enables a system administrator to select the appropriate Cost Accounting Taxonomy.

Please note that selecting this feature will enable “Cost Accounting” features in the Draft Request page, and it will not be possible to submit a Request without having assigned and selected appropriate cost account codes. For further information of the new “Cost Accounting” feature please contact catalog360 Sales or Support.
